What is the short list?

Hand your assistant these and it can get most of the way to a submitted application without coming back to you:

  • Business bank statements for the last three to six months, every page.
  • Your most recent business tax return, all schedules.
  • A year to date profit and loss statement and a current balance sheet.
  • A list of existing loans, advances, leases and credit lines with balances and payments.
  • Formation documents: articles, operating agreement or bylaws, and your EIN letter.
  • Government photo ID for each owner with 20% or more.

Send files as downloads from your bank or accounting software, not screenshots. The full checklist is in our document checklist, and the version written for agents is on the agent documents page.

Why do lenders want your bank statements?

Because they show what actually happens in your business, month by month. Lenders read deposits to confirm revenue, daily balances to see how close you run to zero, and overdrafts or returned payments to judge risk. They also spot existing loan payments you may have forgotten to list.

Your assistant uses the same statements to extract monthly revenue, average balance and existing debt service, which the readiness check and lender matching run on. Three months is the minimum most online lenders want; banks typically want six to twelve. Missing pages are the most common reason a file bounces back, so include every page.

Why do lenders want tax returns and financial statements?

Tax returns prove the revenue and profit you are claiming, because you signed them under penalty. Banks and SBA lenders build their cash flow analysis from them and typically want two to three years. Online lenders often want only the latest year.

A current profit and loss statement and balance sheet fill the gap between the last tax return and today. They are what your assistant uses to estimate your DSCR and working capital, and what lenders use to see whether the business has grown or shrunk since the return. Export them from your accounting software with the date range showing. If you do not keep books, say so.

Why do lenders want your existing debt?

Because every existing payment reduces what you can afford on a new loan. Lenders add your current loan, lease, line and advance payments to the proposed payment and compare the total with your cash flow; under about 1.25 times coverage, most banks decline. Cash advances matter most, since they are repaid daily and often do not appear as a loan on your books.

Give your assistant each lender's name, the balance, the payment and its frequency, and whether the lender filed a UCC lien. Leaving a debt off does not hide it; it shows up in the bank statements and makes the lender trust the rest of the file less.

Why do lenders want formation documents and ID?

To confirm the business exists, who owns it, and who is allowed to borrow on its behalf. Lenders need to know every owner with 20% or more because each will sign a personal guarantee, and they verify identity to meet legal requirements before funding.

Your assistant needs these to fill in the ownership section correctly and to know whose ID to request. If ownership has changed since formation, include the document that shows the current split. Mismatches between the ownership you enter and the documents are a common reason a lender adds stips after approval.

What should you tell your assistant about the loan?

How much you need, what it is for, how fast you need it, and what you are willing to give up. "I need $80,000 to buy a used excavator within three weeks, and I can put down 15%" gives your assistant enough to pick equipment financing over a term loan and to match lenders that move at that speed.

Be honest about the hard parts too. A credit score under 650, a business under two years old, a past bankruptcy, or an existing cash advance all change which lenders fit, and your assistant can only route around a problem it knows about. Our situations pages show how each changes your options.

What are the common gaps that stall applications?

Five come up again and again: missing statement pages, usually the last page or the account summary; a tax return without all its schedules, or an extension with no return behind it; revenue on the application that does not match deposits; a debt in the bank statements but not on the debt list; and an owner left off who holds 20% or more.

Each turns a one day review into a week of back and forth. Your assistant's readiness check catches them before submission, but only for what you gave it. Our guide on why loans get denied covers what happens when gaps reach underwriting.

How do you hand this to your assistant?

Connect your assistant through the agents hub, then upload the files in the conversation or point it to a folder. Tell it what the business is, what you need, and to show you the application before it submits. It will extract the numbers and ask for what is missing.

If you do not have everything, start with the bank statements and tax return. That is enough for a realistic read on what you qualify for, and you can add the rest before submission. Never email documents to anyone, including someone claiming to be us; share them inside the application or through the assistant you connected yourself.
